Hours of work: 

Full time, 35 hours per week

Salary:

Appointment will be made on the Grade IV scale (€35,256 - €51,206 - 54,370 LSIs) at a point in line with government pay policy.

General Responsibilities: 

To carry out the functions of the administrative role as directed by the directorate management team in line with standard operating procedures.

To conduct yourself at all times in a manner in keeping with Beaumont Hospital policies and procedures as well as statutory regulations.

Maintain and update mandatory training compliance.

Responsibilities

Principal Duties:

 

• Outpatient Clinic Reception
• Acquisition and preparation of patient medical records for weekly outpatient clinics (clinic schedule – every Tuesday)
• Waiting List Management and appointment scheduling (in line with National Policy for Management of Outpatient Services)
• Clinical Transcription/Editing utilising T-Pro digital dictation and transcription package
• Telephony duties – manage all incoming calls to the service and follow-up as appropriate
• Filing of clinical documentation as per National Guidelines for the management of patient records
• Management of Departmental email account
• Scanning and transmission of documents in line with GDPR guidelines
• Risk Management – monitor own department and service for elements of risk and escalate to management team in a timely manner
• Participate in the provision of cover in the event of planned/unplanned absences as part of the Medical Directorate clerical pool and across the wider hospital as required

Time & Attendance

 

Work Pattern: 5 days per week (Monday – Friday)
Target Hours: 35 hours per week
Flexi-time (Extended Working Day Roster)
Start Time: between 7:30am – 10am
End time: between 15:30pm – 18:30pm

Candidates must have at the latest date of application:

 

1. Professional Qualifications, Experience

(a) Eligible applicants will be those who on the closing date for the competition:

(i) Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme or Leaving Certificate Applied.

Or

(ii) Passed an examination of at least equivalent standard

Or

(iii) Satisfactory relevant experience which encompasses demonstrable equivalent skills

And

(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office based on the skills competencies and knowledge for the post.

 

2. Health

A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.

 

3. Character

Each candidate for and any person holding the office must be of good character.

 

Desirable:

  1. Good working knowledge of Microsoft Office Suite (Word, Excel, Outlook)
  2. Experience working in a healthcare environment
  3. Excellent keyboard skills
