Salary:

Appointment will be made on the Clerical Grade sale at a point in line with Government pay policy. 

 

€31,118 to €48,427 LSI

 

Hours of work: 

Full-Time 35 hours weekly (mon – Fri), flexitime

                     Start Time: between 08:00am – 10:00am

                     End time: between 16:00 – 18:00pm

Position Summary:

 

The successful candidate will work as part of the Rehabilitation Team in Beaumont Hospital. They will have a high degree of knowledge and understanding of the overall workings of the Physiotherapy and wider Rehabilitation Department. They will be organised, have very good computer literacy and be adaptable. They will have a high level of awareness of patient confidentiality and ensure patient centred care is at the forefront of the clerical teams service.

 

They will follow established policies and procedures. They will provide an effective, consistent and efficient level of clerical support to patients and all members of the healthcare team. They may, on occasion be required to cross cover priority tasks in the Occupational Therapy and Speech and Language Therapy Departments in times of unplanned leave.

Responsibilities

 

 

·       Under general supervision, to carry out the functions of the administrative role as directed by the Physiotherapy management team in line with established standard operating procedures.

·       Work collaboratively with the clerical team and report as required to designated team lead. 

·       Plan and organise work to comply with established objectives and deadlines.

·       Assist with training of new staff as appropriate.

·       Participate in performance review/ achievement and the development of a personal development plan in conjunction with and as required by his / her line manager.

·       Manage all incoming phone calls/emails to the Physiotherapy reception and follow-up as appropriate.

·       Medical Chart retrieval and Tracking.

·       Participate in the provision of cover in the event of planned/unplanned absences as part of the Rehabilitation Department clerical pool.

·       To attend at such times and places as may be fixed by the Board and to remain in attendance there as long as his/her services are required.

 

Service Management

 

·       Coordinate/book all relevant patient appointments

·       Plan fracture slots, ensure appropriate level of staff provision in conjunction with Physiotherapy OPD team

·       FOI – ensure all queries are dealt with within the statutory timeframe

·       Legal Queries – liaising with legal firms and following procedures in place with regards to accessing patient notes

·       To carry out his/her duties under the supervision and control of the Physiotherapist in charge or such other person designated for that purpose by the Board.

·       To keep such records appropriate to his/her office as he/she may be required by the Board

·       Comply with obligations to protect patient confidentiality and data at all times (GDPR).

·       Filing of clinical documentation as per National Guidelines for the management of patient records.

·       Scanning and transmission of documents in line with GDPR guidelines.

 

Maintaining Standards

 

·       Maintain and update compliance with mandatory training (Fire Safety, Manual Handling, PPE, Hand Hygiene etc.)

·       Understand and adhere to all relevant Beaumont Hospital policies, guidelines and procedures, comply with health and safety, infection control and risk management procedures, comply with statutory obligations.

·       To comply with all relevant statutory, local and hospital regulations and policies at all times

·       Undertake training and further learning to develop the personal skills required to improve patient care

·       Risk Management – monitor own department and service for elements  of risk and escalate to management team in a timely manner.

·       Attendance at meetings where requested by Physiotherapy Management

Mandatory:

 

Candidates must have at the latest date of application:

 

- 1. Professional Qualifications, Experience (a) Eligible applicants will be those who on the closing date for the competition: (i) Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme or Leaving Certificate Applied.

 

Or

 

(ii) Passed an examination of at least equivalent standard

 

Or

 

(iii) Satisfactory relevant experience which encompasses demonstrable equivalent skills

 

And

 

(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office based on the skills competencies and knowledge for the post.

 

2. Age


Age restriction shall only apply to a candidate where s/he is not classified as a new entrant (within
the meaning of the Public Service Superannuation (Miscellaneous Provisions) Act, 2004). A
candidate who is not classified as a new entrant must be under 65 years of age on the first day of
the month in which the latest date for receiving completed application forms for the office occurs.

 

 3. Health

 

A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.

 

4. Character

 

Each candidate for and any person holding the office must be of good character.

 

 

 

 

Desirable:

 

1.       Good working knowledge of Microsoft Office Suite (Word, Excel, Outlook)

2.       Experience working in a healthcare environment

3.       Excellent keyboard skills
